It has dozens of rules, a few exceptions nobody wrote down, and a spreadsheet holding it together. It works — until that person goes on holiday, a regulation changes or volume doubles. Then it becomes the bottleneck: fines, wrong invoices, missed deadlines and hours of manual checking every week.

I turn those processes into systems: the rules written down, the data cleaned up, the repetitive part automated — and people left to handle only the exceptions.

    Audit

    About two weeks. I map how the process really runs — every rule, exception and hand-off — and hand you a written plan, in priority order. $1,500, credited to your first month if we continue.

    Improve

    The monthly partnership. I build, run and keep improving your processes, one request at a time from an open queue — so nothing is ever “out of scope”. Nothing goes live without your sign-off. 3-month minimum.

    Maintain

    Once a process runs well, I keep it that way: monitoring, fixes and updates when rules change, with a short monthly report. Month to month.

How billing works

Billed monthly in advance, no hourly invoices. After the minimum, stop any time with 30 days’ notice — everything runs in your accounts and stays yours.

You work directly with the person who builds it.

I’m Gustavo Valenzuela, a process and automation consultant working with companies in the US and Europe. I’ve automated permit filing across US counties, states and cities, built a quality function from zero, and run the operations platform of a US design-build firm — owning the systems, not advising from the outside.

I take on a small number of companies at a time, so the person who maps your process is the person who builds and runs the system — no account managers, no hand-offs to juniors. I use automation in my own practice too, which is how one senior consultant delivers without agency overhead.

Works in English and Spanish · US Central time, overlapping US business hours and the European morning.

What happens after I send the form?

I read it myself. If your description is short, I may email you up to three questions first. Within two business days you get a one-page written assessment: where the time, risk and money are going, roughly what it costs, and what I would fix first. It’s yours to keep whether or not we work together.

What kind of processes do you work on?

Internal processes with many rules and little room for error: regulatory filings and permits, taxes and commissions, invoicing and reconciliation, quality control, procurement and project operations. If a mistake in it costs money and only one person really understands it, it’s a good fit.

What kind of companies do you work with?

Growing companies — typically 10 to 200 people — in any industry. The common thread is not the sector but the process: complex, rule-heavy and too important to keep running on spreadsheets and memory.

What don’t you do?

Marketing, design, websites, ads, sales funnels and customer-facing chatbots. Mechanismo works only on internal processes.

What does it cost?

The assessment is free. The Audit is $1,500, credited to your first month if we continue. After that I work on a monthly partnership: Improve at $3,000/mo (3-month minimum) while we build, and Maintain at $1,000/mo once things run well. Billed monthly in advance; no surprises.

Can I just buy a one-off project?

Yes, when it makes more sense: a fixed price, 50% to start and 50% at go-live, with two rounds of changes included. Afterwards most clients move to Maintain, because rules change and systems need looking after.

Will we have to replace our current tools?

Usually not. The work is fixing the process and connecting what you already pay for. When a spreadsheet has outgrown itself, I’ll say so and show you the option.

Who owns what you build?

You do. It runs in your accounts and comes with written documentation of every rule, so you’re never locked in to me.

What if something happens to you?

Nothing stops working. Everything runs in your accounts, every rule is documented in plain language, and handing over to your team or another developer is part of every build.

How do you handle our data and system access?

I work only with access you grant and can revoke at any time, and I’m happy to sign your NDA. Your data stays in your systems and is never used to train AI models.

Do you work in Spanish?

Yes — natively. This whole site is available in Spanish.
