Before

  • Deals and payment plans were tracked in tables and automations stitched together by hand.

The situation

The company sells high-ticket programmes, and many clients pay in instalments. That makes the money hard to see: a sale closed today might be paid over months, through two payment providers, with some instalments late and some refunded. The team tracked it in tables and automations stitched together over time — and answering what are we actually owed, and who earned which sale? meant cross-referencing spreadsheets by hand.

What was built

A dedicated revenue system. Each deal holds its payment plan, and split plans schedule their future instalments automatically. Payments arriving from Stripe and Whop are matched against that schedule; anything that doesn’t match lands in a review queue instead of silently corrupting the totals. Overdue instalments are flagged for collection, sales credit is assigned per deal, and finance gets exports that are ready to use as they are.

The result

970 deals and more than €2M in contracted revenue moved into one system, with 1,700+ payments reconciled and 650+ future instalments scheduled. Leadership can see what has been collected, what is still owed and what is overdue — and the sales team is credited for the deals it actually closed.
